Request for Tender: Office Cleaning Services

1. Introduction
YMCA of Simcoe Muskoka – Huntsville Employment & Learning Services (“YMCA”) invites qualified cleaning service providers to submit tenders for the provision of office cleaning services at our premises located at 60 King William Street, Huntsville, ON. The contract will be for a period of one year, May 1, 2025 – April 30, 2026, with the possibility of extension based on performance.

2. Scope of Work
The selected contractor will be responsible for:

• Daily cleaning of office spaces (office hours Monday – Friday, 8:30 – 4:30 p.m.)
• Daily cleaning and sanitization of 3 single stall restrooms
• Daily cleaning and sanitizing kitchen – table, counter, floor
• Daily emptying trash bins and recycling – putting at the curb for weekly pick up
• Daily/weekly vacuum all carpets and rugs (as needed)
• Weekly cleaning of glass entrance doors and interior windows as needed
• Weekly dusting and cleaning of table tops
• As needed baseboard, window ledge cleaning
• Supplying and refilling hygiene supplies, garbage bags (soap, paper towels, 2-ply toilet paper, etc.)
• Steam carpet cleaning 2 times/year
• Exterior window cleaning 2 times/year
• Any additional cleaning tasks as required by the YMCA 

3. Minimum Requirements
Interested companies must:

• Be a licensed and insured cleaning service provider
• Have at least 2 years of experience in office cleaning.
• Provide references from at least 2 clients.
• Ensure staff are trained in health and safety standards.
• Use environmentally friendly cleaning products where possible.
• All personnel cleaning on the premises must provide clear CRC

4. Proposal Submission Requirements
Tenders must include:

• Company profile and relevant experience.
• Pricing breakdown (hourly/daily rates or monthly contract fee).
• List of cleaning equipment and supplies to be used.
• Health & safety policies.
• Proof of insurance and WSIB certifications.
• Any value-added services offered.

5. Evaluation Criteria
Submissions to be evaluated based on:

• Cost-effectiveness.
• Experience and qualifications.
• Compliance with environmental and safety standards.
• Client references.
• Additional benefits or innovations in service delivery.

7. Terms & Conditions
YMCA reserves the right to accept or reject any tender and is not bound to accept the lowest bid. The successful bidder will be required to enter into a formal contract with YMCA.
